There is a difference between just keeping your head above water and truly thriving as a business owner. While it can be difficult to know when to outsource help, there are a few indicators that crop up when it is time to call in for backup.

As experts when it comes to virtual assistants in Australia, here are 5 signs that indicate you may be in need of a virtual assistant.

#1: Your Inbox is Filled With Unopened Emails

Do you cringe every time you open up your inbox? If your inbox is stuffed full of unopened mail, you could be missing important emails from potential clients. In order to combat this common problem, many business owners choose to outsource virtual assistants. Your new VA could assist with deleting spam, replying to emails, and unsubscribing from certain services.

#2: You Desperately Want to Spend More Time Away from Your Screen

If you can’t bear the thought of looking at a screen when you get home from work, it could be that you’re spending way too much time in front of your computer. This is not only bad for your eyes but can also have negative effects on your mental health.

A VA can handle all sorts of screen-related tasks, such as data entry, social media, and more, so that you can achieve a better work-life balance.

#3: You Are Turning Down Work That Could Take Your Business to the Next Level

If your business is gaining more traction, then this is a sure sign that it is time to make use of the scalable services offered by a virtual assistant. By offloading some of the admin-heavy tasks onto your VA, you can focus on acquiring new clients and ensuring that your business reaches its full potential.

#4: You Need Help With Tasks But Don’t Want to Hire a Full-Time Employee

There are many risks and costs involved with hiring a full-time employee. If most of the work that you need help with can be done remotely, then a virtual assistant is the ideal solution for you. Their services are scalable and affordable, and you don’t need to provide them with any equipment.

#5: Your Business Needs a Stronger Social Media Presence

In today’s media-mad world, you’ll know if your social media presence is on par with your competitors. If not, a competent virtual assistant can assist you with garnering better engagement and ensuring your content reaches its intended audience.

Hiring a virtual assistant in Australia has become a popular way for businesses to grow and expand without having to go through the admin-heavy and stressful process of hiring an in-house employee.

In this article, we discuss the standard skills that you can expect most virtual assistants to have, as well as some of the specialised skills that you should look out for if you want a VA to add additional value to your operation.

Standard Skills that Most Virtual Assistants Should Have

While each virtual assistant comes with their own unique set of skills, there are certain, standard skills that most virtual assistants should have, including:

  • Social media management.
  • Email marketing.
  • Client communication.
  • Project management.
  • Booking meetings.
  • Schedule organisation.
  • Website updates.
  • And so much more.

With the above skills, a virtual assistant can add immense value to your operation.

Specialised Skills to Look Out for

Many virtual assistants choose to specialise in certain skills to help them land better jobs and stand out from their competition. In some cases, VAs may have obtained these skills through their previous work experience or studies, and these skills can add immense value to your business, some of which include:

  • Copywriting: A VA with expert copywriting skills can help with a variety of specialised tasks including writing blogs for your website, updating your website content, and so much more.
  • Social media marketing: While most VAs should be able to assist you with basic social media tasks, like replying to messages and comments and creating standard posts, finding a VA that can assist with creating full-on social media campaigns can really help your project reach the next level.
  • Video editing: In this day and age of social media and visual content, having a VA that can create high-quality videos on your behalf will act as a significant asset for your business.

The option to outsource virtual assistants (VAs) offers businesses the chance to transform their operations by delegating tedious and time-consuming admin tasks, alleviating stress, and freeing up time to focus on the core of brand growth without breaking the bank.

The goal is to reap the full benefits of this collaboration. Hence, nurturing your working relationship with your virtual assistant is crucial. There are a few strategies you can implement to ensure a fruitful and efficient partnership with your VA!

The Onboarding Process

Similar to providing guidance and orientation to a new traditional or in-office employee, a VA also requires an onboarding process.

Schedule a video call to meet your VA face to face and introduce prevalent aspects of your company, including its history, goals, products, services, and brand guidelines. Explain the relevant computer programs, preferred communication methods, and necessary passwords. Doing this sets a positive and clear foundation for a productive working relationship ahead.

Personally Connect Professionally

Remember, your VA is a real person. It’s important to invest some time in getting to know them and allowing them to get to know you to establish a healthy bond and ensure that they see you as more than just a name on a screen.

It’s beneficial to schedule routine check-ins to discuss tasks, project progress, and general well-being. Opt for phone calls or video chats to foster a more human connection.

Clearly Communicate Availability And Expectations

Effective communication is the cornerstone of any thriving professional relationship.

Early on, establish healthy and clear communication for task-related discussions. Doing so will save ample time and ensure both parties are on the same page.

Additionally, set your VA up with all the necessary instructions, details, and files required to complete tasks. While creating detailed guides may seem time-consuming, it will enhance your assistant’s performance while reducing the need for repetitive instructions.

Articulate your expectations regarding desired outcomes, deadlines, and success criteria. Subsequently, you should also remain available for any questions or to provide support as your assistant settles into their role.

Embrace Feedback And Ideas

VAs possess a wealth of knowledge and experience. During your regular check-ins, actively seek their feedback and suggestions. Their insights may provide valuable opportunities for working more efficiently or achieving better results.

Ask if they have ideas for additional tasks they can assist you with, further improving time management.

Vocalise Appreciation

Showing appreciation for your assistant’s hard work, effort, and progress is vital for fostering loyalty and motivating them to perform at their best. Valuing their contributions and acknowledging their efforts will boost morale and confidence.

Partnering with a reputable resource like Virtual Assistant Australia can save you time, avoiding trial and error. Our expert team will guide you through the selection process and find the perfect fit for your needs. Contact us today to start!

Outsourcing some of the many tasks on your plate to a virtual assistant in Australia will unlock valuable time for you as a business owner. One of the most time-consuming tasks that we know you have on your agenda as an entrepreneur is social media marketing.

Social media marketing is a powerful way to increase awareness about your offer quickly and effectively. However, the thought of successfully managing your business’s Facebook Ads, Instagram Reels, and TikToks may fill you with dread.

If this is the case, read on to find out how outsourcing your social media marketing to one of our virtual assistants can help you to unlock the power of social media for your business!

Outsource Content Planning to Your Virtual Assistant

Planning content for your business’s social media channels takes creativity, time, and even guts. TikTok or Instagram Reels are the fastest-growing and most engaging social media channels at the moment. Taking advantage of the latest video trends often involves a lot of research – even if it is only time spent scrolling through the latest sounds you can replicate for your business.

A Virtual Assistant can dedicate their time to researching and planning content that grabs your audience’s attention and nurtures them towards becoming paying customers.

Outsource Content Quality Assurance to Your Virtual Assistant

Going through and checking that your social media posts are error-free is a task that you can easily delegate. Your VA is perfectly positioned to quality-check all posts when it comes to the copy, design requirements, and planned schedule. Ensure reliable social media efforts with this step.

Outsource Engagement to Your Virtual Assistant

Social Media is all about interaction. Your audience has a lot of different content and accounts trying to steal their attention. Making time for engaging meaningfully with your audience on your social platforms is a big part of your business’s social media marketing.

If you don’t have the time to comment on other industry leaders’ posts regularly, or to engage with your follower’s content weekly, entrusting this to your Virtual Assistant may be a good idea.

Instead of ignoring this essential marketing platform out of fear, delegate your monthly social media management to one of our talented virtual assistants in Australia by contacting us today!

Virtual assistants are a cost-effective talent solution that enhances workplace productivity. How do you know when your business is ready to hire them?

With remote and hybrid working models likely to stay, more and more organisations are seeking help from virtual assistants in Australia. Many executives have learned that deploying virtual assistants is a creative, cost-effective, proportionate talent solution that enhances workplace productivity and builds team capacity for rapid growth.

Here are the top indicators that your business needs virtual assistants.

You’re Having Difficulty Meeting Deadlines

  • Do you have a schedule jam-packed with meetings in between major project deadlines and an overflowing inbox?
  • Postponing important tasks and then finding yourself overwhelmed when the time arrives?
  • Do you struggle to find the time to create regular content for your social media platforms while still managing ongoing operational tasks?

A virtual assistant can simply step in to handle those day-to-day operational responsibilities, keeping you one step ahead of any future deadlines.

You’re Ready To Scale Up Your Business Operations

In order to grow your business, you need more satisfied customers willing to spread the word about your excellent service. It may be difficult and time-consuming to come up with innovative methods to incentives or obtain referrals.

Improved cash flow, optimised systems and people with relevant skill sets are all necessary for scaling. But these aspects of business require the most time and resources to execute. Hiring a virtual assistant will alleviate some of your workload, provide the relevant skill sets and free up cash flow, enabling you to put more energy into attracting new customers and growing your company.

You Need To Introduce More Refined Skill Sets Into Your Business

When starting a business, most business owners handle everything from delivering services to maintaining websites to accounting and developing marketing strategies and promotional materials. For most entrepreneurs, this is a rite of passage.

Eventually, you need to introduce a more refined skill set to take your business to the next level and improve the quality of your brand, operations and services. From financial reporting to copyediting and project management to business process development, a virtual assistant or team of virtual assistants offers a broad range of skill sets to implement into your business development.

You’re Looking For Extra Support But Unable To Commit To Full-time Employees

Many business owners try to handle everything themselves to minimise the expenses associated with full-time employees. However, maintaining a full-time staff of in-house professionals comes at a high cost, requiring time, space and resources.

Virtual assistants are the best way to get more assistance without committing to the responsibilities that come with full-time employees. You only pay for the hours worked and projects completed.

We Are Here To Assist

At VA Australia, our highly skilled team of virtual assistants can provide you with full-time, part-time, fixed-term, or project-based engagements from as little as two hours per day to full-time, no matter where you are in Australia or beyond. I worked with a couple of virtual assistants before finally meeting Shawn. Shawn has become the most important member of my office team and I’m 100% sure that it’s because:

1) he’s never even spent a day in my office and

2) every one of his personal characteristics makes him the ideal (personal) virtual assistant.

I’d like to think that I’ve earned my stripes and have the know-how to advise anybody currently in the market for a VA. Not everyone is cut out to be a self-starter, work from home VA, so when you find someone who is (like I have with Shawn) hold on to them like they’re made of gold…for your bottom line, they quite literally are.

Shawn works from home in the Philippines assisting me in my growing administrative legal business. Not the most exciting, but it lends itself perfectly to the kind of tasks that are ideal for outsourcing to a virtual assistant. Aside from managing my inbox and calendar, Shawn assists me with form and template creation, quote generation which has led to a 130% increase in business turnover and online research and data mining for ongoing matters.

Having got to know Shawn, as well as having worked with otherVAs that came before him, below are what I’ve determined to be the most important characteristics that a winning VA needs:

Reliability& Suitability

Obviously employing a Virtual Assistant means that you’re putting your trust in someone that you don’t know very well and probably will never meet. You need to trust them.

Trust will be built over time but off the bat it’s a no brainer that you need to go through a reputable agency that has a thorough recruitment process. If you’re looking for a VA at all it’s probable because you don’t have enough time in the day already so you don’t want to be wasting time going through the whole recruitment process yourself.

Resourcefulness

A big part of my business involves applications lodged with regional governmental agencies in different regions of Australia. Once lodged online, these applications can take time to be processed, but can be expedited by the people handling them. When I first put Shawn on this task, I worried that the fact that he was not based in Australia would negatively affect the important relationships that I was building at these agencies but somehow, despite the cultural differences, Shawn has proven to be my most valuable asset at all agencies in which I operate.

Deadline driven

An integral point of importance to a virtual assistant in meeting deadlines is the ability to have mastered time management. My virtual assistant meeting the deadlines that I’ve set for the completion of a clients’ matter not only shows the client that they matter to me but also that I offer a level of professionalism that others just can’t match. As long as I set clear deadlines for my VA they can perform and achieve success.

Accountability

If and when (as sometimes happens) a deadline is missed, expect your VA to be held 100% accountable. If a deadline is unachievable they have to tell you or at least advise you with enough time to make alternate arrangements. Make sure that when your relationship starts, you and your virtual assistant are clear on what is expected and what happens when these expectations are not met.

Strong communication skills

If a virtual assistant is going to be representing your company to your clients (and sometimes your clients won’t even know that they’re in a different country) their communication skills need to be comparable to an assistant hired in your own country. Not to mention they need to have an agreeable personality and be well liked.

During the hiring process, insist on a Skype call with the agency you’re using to hire your virtual assistant. Make sure you understand each other and can work together easily without any misunderstandings. Remember, this could be what your clients are going to be experiencing when they hire you to work for them.

The extra mile

Virtual Assistants that view what they do as more than just a job are the ones that are going to be prepared to put in a little extra. We’re all familiar with employees who give just what they’re paid for and no more. A virtual assistant can be just as frustrating, they’re just not physically in your office. Make sure they know that while you’re no slave driver, there are times that you might need a little flexibility from them regarding hours of work or extra work at peak times. Get this right and you’ve suddenly got an extra set of hands to help you push your business forward.

A virtual accounts payable assistant will deliver the similar type of service to ventures. Frequently, it is possible to merge accounts payable with accounts receivable. In this case, a VA is not only accountable for paying bills, but also for check deposits in the client’s bank account and occasionally even call on unpaid accounts.

Data Management & Data Processing

Many things can be involved in data management and processing. As a remote assistant you would also put in order and afterward mail a standard confirmatory memo to the policy owner. You keep record of the annual expiry date of the policy and on the due date, send reminder emails to the insurance representative.

Another option is to support a client who is arranging a direct mailing and requirements confirm the authenticity of his database. The database is sent to VA via an email attachment. You afterward telephone each name and confirm that the name, address, title and spelling are correct.

Transcription Services

This is the process of changing voice-recorded reports into text. Several clients can make use of a remote assistant for this purpose. As a VA transcription service you may also get a telephonic conversation that needs to be recorded and afterward typed up and transmitted to everyone that participated. A client can dictate memos and letters on CD, cassette or MP3 format and transmit to you to put it in writing. Novelists or writers sometime use this service to obtain a type-written print of their work.

Bookkeeping

As a VA bookkeeper you could be liable for writing the daybooks, which would comprise of sales, purchase, payments and receipts. The bookkeeper is accountable for making sure that all transactions are recorded into the accurate daybook, ledger suppliers, general ledger and custom ledger. In general, a company scans its business documentations and uploads them to a safe location or into an online bookkeeping application on daily basis.

Editing & Proof Reading

Proof reading generally refers reading a proof copy of a text with the aim of detecting and rectifying any errors. Editing is the practice of preparing images, language or sound for presentation all the way through organization, correction, condensation and other adjustments. Virtual Assistants can edit, proofread, format and grammar check documents afterward return them to the client via email attachment. Bear in mind, working as a VA has lots of other benefits in addition to earn money with the comfort of home.
